Sunfish Events LLC operates an event registration platform available at www.sunfishevents.com.

2. Information We Collect

Information You Provide Directly

From Event Organizers:

  • Account information such as your name, email address, and organization

  • Billing information (payments are handled by Stripe)

  • Event details and configuration

  • Information about team members you add to your account

From Event Attendees:

  • Registration details such as your name and email address

  • Payment information (processed by Stripe; we never store card numbers)

  • Answers to custom registration questions set by the event organizer

  • Purchase and transaction records

Information We Collect Automatically

  • Usage information such as pages visited, features used, and session length

  • Technical information such as browser type, operating system, IP address, and device identifiers

  • Information collected through cookies and similar technologies, described below

Cookies and Tracking Technologies. We use three types of cookies and similar technologies:

  • Essential cookies, which are required for the platform to function, such as keeping you signed in.

  • Analytics cookies, which help us understand how our website and platform are used. You can disable these.

  • Advertising cookies and pixels on our website, including the Meta (Facebook/Instagram) Pixel and the LinkedIn Insight Tag. These collect information such as the pages you visit, your device and browser type, and your interactions with our site. We use this information to measure the effectiveness of our advertising and to show relevant Sunfish Events ads to website visitors on those platforms. 3. How We Use Your Information

For Event Organizers:

  • Provide and maintain the registration platform

  • Process payments and payouts through Stripe

  • Send transactional emails such as receipts, notifications, and account information

  • Provide technical support

  • Improve our services and develop new features

  • Comply with legal obligations

For Event Attendees:

  • Process your event registration

  • Send confirmation emails and registration communications

  • Enable communication between you and the event organizer

  • Process refunds when applicable

For Both:

  • Prevent fraud and protect the security of our platform

  • Analyze how the platform is used so we can improve it

  • Comply with legal requirements

For Website Visitors:

  • Measure the performance of our advertising and show relevant Sunfish Events ads on third-party platforms, as described in Section 2

4. Legal Basis for Processing (GDPR)

Where GDPR applies, we process personal information on the following bases:

  • Contract: to provide the registration services you have requested

  • Legitimate interests: to improve the platform, prevent fraud, and maintain security

  • Consent: for optional analytics, advertising cookies and pixels, and marketing communications

  • Legal obligation: for tax, accounting, and regulatory compliance

5. How We Share Your Information

Service Providers:

  • Stripe, for payment processing (see Stripe's own privacy policy)

  • Email delivery providers, for transactional messages

  • Cloud hosting providers (such as AWS) for data storage

  • Analytics providers, if analytics cookies are enabled

Advertising Partners:

We share limited information with advertising platforms, including Meta and LinkedIn, through the cookies and pixels on our website described in Section 2. We may also provide these platforms with hashed (encrypted) contact information to deliver relevant ads; the platforms cannot read the underlying contact details and use them only for matching. We do not sell your personal information for money.

Event Organizers:

Organizers receive the registration information of their attendees and are responsible for how they use it for their events.

Legal and Business Circumstances:

  • When required by law, court order, or regulatory inquiry

  • In connection with a merger, acquisition, or sale of assets, in which case data may transfer to the successor entity

What we do not do:

  • We do not sell your data to third parties

  • We do not share attendee information with anyone other than the relevant event organizer

  • We do not use attendee data to market our own platform

  • We do not share organizer details with third parties for their own marketing purposes

Communications to Organizers:

We send organizers service announcements, feature updates, and occasional platform promotions. You can unsubscribe from marketing emails at any time; essential service notifications will continue.

6. Data Retention

  • Organizer account data: retained while your account is active, and for three years after account closure for financial and tax records

  • Attendee registration data: retained for three years after the event ends, to support organizer compliance and legal obligations; you may request earlier deletion

  • Financial records: retained for three years for tax and accounting purposes

7. Your Rights

All users can:

  • Request a copy of their personal information

  • Correct inaccurate information

  • Request deletion of their information (subject to legal retention requirements)

  • Receive their information in a machine-readable format

  • Object to processing based on legitimate interests

Event Organizers can also:

  • Download all attendee information associated with their events

  • Request deletion of events and their associated data

Event Attendees can also:

  • Unsubscribe from an organizer's communications (organizers control this functionality)

  • Update registration details through their confirmation link (where the organizer has enabled it)

Your Advertising Choices

You can opt out of advertising cookies through your browser settings. You can also control the ads you see from us in your Facebook ad preferences and LinkedIn ad settings, or through the industry opt-out tool at optout.aboutads.info. To opt out of our use of hashed contact lists for advertising, email us at privacy@sunfishevents.com.

How to Exercise Your Rights

Email us at privacy@sunfishevents.com. We respond to all requests within 30 days.

8. Data Security

We protect your information with:

  • Encryption in transit (TLS/SSL) and at rest

  • Secure login mechanisms for platform access

  • Restricted employee access to personal information

  • PCI-compliant payment handling through Stripe

No system is completely secure, but we continuously work to safeguard your data.

9. International Data Transfers

Our platform primarily serves US-based organizers and data is stored on servers in the United States. Where we transfer personal data of users in the European Economic Area or the United Kingdom, we implement appropriate safeguards for those transfers.

10. Children's Privacy

Our platform is intended for users aged 13 and older. We do not knowingly collect information from children under 13. Organizers collecting information about minors are required to obtain parental consent.

11. California Privacy Rights (CCPA)

If you are a California resident, you have the right to:

  • Know what personal information we collect and why

  • Request deletion of your personal information

  • Opt out of the sale of your personal information (we do not sell personal information)

  • Opt out of the "sharing" of personal information for cross-context behavioral advertising. Our use of advertising cookies and pixels, described in Section 2, may be considered "sharing" under California law. You can opt out using the methods in "Your Advertising Choices" in Section 7 or by emailing privacy@sunfishevents.com

  • Not be discriminated against for exercising your privacy rights

12. Changes to This Policy

We post updates to this page with a revised "Last Updated" date. If we make significant changes, we will notify registered account holders by email.

For organizer data, Sunfish Events LLC acts as the data controller. For attendee data, the event organizer is the data controller and Sunfish Events acts as a data processor on their behalf.
